Job Description

What you'll do

  • Own scheduling for the CEO's and Chief of Staff's calendars — key meetings, 1:1s, department meetings, All Hands — across a fast-moving, frequently reorganizing org.

  • Manage day-to-day correspondence and calendar logistics for both leaders.

  • Build and format decks and support CoS in running leadership meetings, MBRs, board updates, and strategy sessions (production and formatting — the Chief of Staff owns agenda and content).

  • Coordinate offsite and customer summit logistics: travel, venues, vendor coordination (the Chief of Staff owns agenda and outcomes).

  • Act as a first point of contact for scheduling requests from senior stakeholders, using judgment on what needs the Chief of Staff's or CEO's direct attention versus what you can resolve yourself.

  • Handle sensitive information with discretion — compensation conversations, reorg planning, and personnel matters naturally surface in a CEO-adjacent role.

  • Track recurring commitments and deadlines for the CEO and Chief of Staff, flagging conflicts before they become problems.

  • Support with light research, note-taking, time-keeping, and follow-up tracking during leadership meetings.

  • Partner with the Chief of Staff on ad hoc projects tied to leadership initiatives.

  • Use AI tools (Claude, ChatGPT, etc.) to speed up drafting, summarizing, and day-to-day admin work.

What you'll need to succeed

  • Experience as an Executive Assistant supporting a senior executive (ideally C-suite) at a fast-growing startup, agency, or SaaS company — comfortable with ambiguity and fast context-switching.

  • A track record of exercising judgment: knowing when to make a call versus when to escalate, not just executing a task list.

  • Demonstrated discretion handling sensitive or confidential information.

  • Strong organizational, proactiveness and prioritisation skills to organize your day-to-day and tackle challenges as they come in the right order

  • Excellent written communication, including comfort drafting in someone else's voice.

  • Comfortable working async across time zones in a remote-first, global team.

  • Tech-fluent: Slack, Notion, Google Workspace.

  • Experience using AI tools (Claude, ChatGPT) for drafting or summarizing.
