As a Resource Manager, you play a key role in supporting the smooth and efficient delivery of work across the agency by ensuring projects are staffed with the right talent, at the right time. Reporting into the Lead Resource Manager, you are responsible for the coordination and day-to-day management of both freelance and permanent resources across departments including Creative, Strategy, Production, Tech and Client Services.
You are proactive, solutions-oriented, and calm under pressure. With excellent organisational skills and a strong grasp of agency workflows, you’re able to manage competing priorities, communicate clearly with stakeholders, and anticipate resourcing needs before they become challenges.
Responsibilities
1. Resource Allocation & Scheduling
- Manage daily and weekly resource bookings across key departments.
- Maintain and update central resourcing schedules and tools.
- Identify and flag overbookings, conflicts, or shortfalls in availability.
- Liaise with project and department leads to ensure resourcing is aligned with timelines and scopes.
2. Freelance Coordination & Onboarding
- Support freelance talent onboarding including contracts, NDAs, system access, and rate tracking.
- Maintain an up-to-date freelance database with availability, rates, disciplines, and feedback.
- Assist in identifying and sourcing freelance talent in collaboration with the Lead Resource Manager.
- Ensure freelance sign-off and engagement aligns with internal processes and budget approvals.
3. Communication & Stakeholder Management
- Act as a key point of contact for project and department teams regarding resourcing updates.
- Communicate schedule changes, resource availability, and booking confirmations clearly and promptly.
- Build trusted relationships with internal stakeholders by being reliable, fair, and solutions-focused.
4. Reporting & Admin Support
- Track team availability and update resource tools with accurate data on bookings, capacity, and project status.
- Assist with utilisation reporting and freelance spend tracking as directed by the Lead Resource Manager.
- Ensure that all relevant resourcing documentation, tools, and logs are accurate and well-maintained.
5. Process & Operational Support
- Support the Lead Resource Manager in implementing and improving resourcing processes and systems.
- Uphold best practices in scheduling, documentation, and communication across the resourcing function.
- Help foster a positive resourcing culture that promotes collaboration, clarity, and operational excellence.
REQUIRED SKILLS
- Experience in managing projects, planning or working within a creative agency desirable.
- Highly organised with the ability to manage multiple projects at any given time.
- Commercially astute.
- Ability to work in a team and build relationships with different departments.
- Ability to work calmly under pressure.
LOCATION AND WORKING HOURS
This role will be based in either our Sheffield or Leeds office, 9am-5.30pm, Monday to Friday. The role is open to hybrid working.
